It is not a substitute for review by qualified privacy counsel before publication — company legal name, jurisdiction, retention periods, and subprocessor names should all be confirmed before this goes live. 1. Scope of This Policy

This Privacy Policy explains how EventBound (“EventBound,” “we,” “us,” or “our”) collects, uses, and shares information in connection with the Service, the public Listings marketplace, the EventBound web application, and related sites and tools, as described in our Terms of Service. It applies to visitors, Tenant account users, and vendor / basic accounts alike.

This Policy does not cover information exchanged directly between users off-platform, for example over phone or email once a Reply has connected two parties. That exchange is between those parties and is not something EventBound collects or controls.

2. Information We Collect

We collect the following categories of information:

  • Account information: name, email address, company / organization name, and password, stored hashed and never in plain text.

  • Listing and Reply content: equipment descriptions, event dates, quantities, budgets, fulfillment preferences, offer terms, and messages you post or send through the Service.

  • Verification data: email verification codes sent during signup, and their expiry and verified status.

  • Usage data: pages viewed, general interaction and navigation data, timestamps, and referring pages on our public site.

  • Device and technical data: browser type, operating system, IP address, and similar technical identifiers collected automatically.

We do not collect or store payment card details. As described in our Terms of Service, EventBound does not process payments for the rental transactions arranged between users.

3. How We Use Information

We use the information above to:

  • operate the Service, creating accounts, publishing Listings, delivering Replies, and sending verification codes;

  • maintain and improve the Service, including diagnosing problems and understanding how features are used;

  • communicate with you about your account, a Listing or Reply, or changes to our Terms or this Policy;

  • protect the Service and its users, including detecting fraud, abuse, or violations of our Terms;

  • meet legal obligations we are subject to.

4. How Information Is Shared

We do not sell your personal information. We share information only in the following circumstances:

  • With other users, as the Service is designed to work. See Section 5 for what is public, and how counterparties see each other once a Reply is exchanged.

  • With service providers who host our infrastructure, deliver transactional email such as verification codes and notifications, and provide site analytics, bound by confidentiality and data-protection obligations.

  • For legal reasons, if required by law, subpoena, or other legal process, or to protect the rights, safety, or property of EventBound or our users.

  • In a business transfer, if EventBound is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction, subject to this Policy.

5. Public Listings Visibility

When you post a Listing, its content, equipment, dates, quantity, budget, and fulfillment preference, and your Organization name are visible to anyone browsing the public marketplace. Your personal name, direct contact details, and any Reply or negotiation content are not shown publicly, those become visible to a counterparty only once a Reply is sent on your Listing, or once you send a Reply to someone else’s.

Listings are a public request board by design. Anyone, including visitors who are not signed in, can browse open Listings and see what is posted.

6. Cookies and Analytics

Our public website uses cookies and similar technologies to keep you signed in, remember preferences, and understand aggregate traffic and usage patterns, such as page views and navigation flow, so we can improve the site. We do not use this data to build advertising profiles or share it with ad networks.

You can control cookies through your browser settings; disabling them may affect some site functionality, such as staying signed in.

7. Free Trial and Vendor Accounts

If you sign up for a Free Trial, we collect the account details you provide, name, company, email, to provision your new Organization, as described in our Terms of Service.

If you previously replied to Listings using a lighter-weight vendor account and later create a full Tenant account with the same email, your Reply history is transferred to your new account and your old vendor credentials are deactivated, you do not end up with two separate identities holding your data.

8. Data Retention

We retain account and Listing/Reply data for as long as your account is active, and for a reasonable period afterward to meet legal, accounting, or dispute-resolution needs. You may request deletion of your account and associated personal data at any time, see Section 10.

Specific retention periods per data category are to be finalized with counsel before publication.

9. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including hashed password storage and access controls on our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you, or to object to or restrict certain processing. You can update most account information directly in the app, or contact us using the details in Section 14 to make a request.

We will respond to verified requests within a reasonable time and in accordance with applicable law.

11. Children’s Privacy

The Service is intended for users who are at least 18 years old, consistent with our Terms of Service. We do not knowingly collect personal information from children, and we will delete any such information if we become aware of it.

12. International Data Transfers

Your information may be processed in a country other than where you live. Where required, we use appropriate safeguards for such transfers. Specific transfer mechanisms and jurisdictions are to be confirmed with counsel prior to publication.

13. Changes to This Policy

We may update this Policy from time to time. If we make a material change, we will provide reasonable notice, such as an in-app notice or an email to the address on your account, before the change takes effect. Continued use of the Service after a change takes effect constitutes acceptance of the updated Policy.
